We are seeking a highly organized and proactive individual to join our team as a Business Executive Assistant. This position provides essential support to our executives, ensuring efficient workflow and effective communication within the organization. The ideal candidate will be detail-oriented, possess excellent communication skills, and have the ability to multitask in a fast-paced environment.
Responsibilities:
- Manage executives’ calendars, schedule appointments, and coordinate meetings and conference calls.
- Prepare and edit correspondence, reports, presentations, and other documents as requested.
- Handle and prioritize incoming and outgoing communications, including emails, and social media messages.
- Coordinate travel arrangements, including booking flights, accommodations, and transportation.
- Prepare and submit expense reports, ensuring accuracy and compliance with company policies.
- Attend meetings, take minutes, and follow up on action items.
- Maintain confidential information and handle sensitive matters with discretion.
- Collaborate with cross-functional teams to support various projects and initiatives.
- Provide general administrative support, including filing, organizing documents, and managing office supplies.
- Create reports for internal and external needs.
Qualifcations:
- Proven experience as an executive assistant, administrative assistant, or similar role.
- Exceptional organizational and time management skills, with the ability to prioritize tasks effectively.
- Excellent verbal and written communication skills, with keen attention to detail.
- Proficient in using office productivity tools such as Google Suite and others.
- Strong research and analytical skills, with the ability to gather and summarize information.
- Discretion and professionalism in handling confidential information.
- Ability to work independently and as part of a team, demonstrating flexibility and adaptability.
- Proactive and solution-oriented mindset, with the ability to anticipate needs and take initiative.
- Strong interpersonal skills and the ability to interact professionally with stakeholders at all levels.
- Experience in creating reports and analyzing data.
- Familiarity with project management principles and tools is a plus.
- Experience in a marketing agency is a plus.
