The ideal candidate will possess excellent organizational, communication, and multitasking skills, along with a strong understanding of the marketing industry.

Qualifications:

  • Minimum of 5 years of experience as an Executive Assistant in a marketing agency or related industry.
  • Skills and Competencies
    • Exceptional organizational and time management skills.
    • Proficiency in calendar and email management software (e.g., Outlook, Google Calendar).
    • Strong written and verbal communication skills.
    • Ability to multitask, prioritize, and handle pressure in a fast-paced environment.
    • Knowledge of marketing industry terminology and processes.

Key Responsibilities:

  • Calendar and Schedule Management
      • Efficiently manage executive calendars, prioritize appointments, and coordinate meetings, ensuring optimal time management and scheduling.
  • Communication and Correspondence
      • Facilitate smooth communication between executives, clients, and internal teams, managing emails and other forms of correspondence effectively.
  • Travel Coordination
      • Coordinate complex travel arrangements, including flights, accommodations, and itineraries for executives attending business meetings, conferences, and events.
  • Confidentiality and Discretion
      • Maintain the highest level of confidentiality in handling sensitive information, both internally and externally.
  • Document Preparation and Management
      • Assist in the preparation, formatting, and proofreading of various documents, reports, and presentations for executive use.
  • Expense Management
      • Assist in managing expense reports and budgets for the executive team, ensuring accuracy and compliance with company policies.
  • Meeting and Event Support
      • Organize and coordinate meetings, events, and conferences, including logistics, materials, and follow-up actions.
  • Vendor Management
    • Liaise with vendors and external partners to arrange services and supplies as needed, ensuring smooth operations for the executive team
